Email Love Builder makes it easy to collaborate with your team on email templates in a shared workspace. This guide covers everything you need to know about inviting members, assigning roles, and managing permissions.
Overview
Collaborative workspaces in Email Love Builder allow your entire team to work together on email templates. Each member can be assigned a specific role that determines what they can see and do within the workspace.
Roles and Permissions
Email Love Builder uses a flexible role system to control what team members can access and modify:
Account Owner
The Account Owner is the person who originally created the workspace. This role is permanent and cannot be changed or transferred to another user.
Permissions:
- Full administrative access to the workspace
- Manage all team members and their roles
- Access workspace settings, design systems, and integrations
- Create, edit, and delete templates
- Lock and unlock template sections
Owner
Owners are trusted team members promoted by the Account Owner. They have nearly identical permissions to the Account Owner and can help manage the workspace.
Permissions:
- Manage team members and assign roles
- Configure workspace settings, design systems, and integrations
- Create, edit, and delete templates
- Lock and unlock template sections
- Cannot modify Account Owner role or workspace ownership
Editor
Editors are the core content creators in your workspace. They can create new templates and make changes to existing ones.
Permissions:
- Create and edit email templates
- Cannot modify locked sections (protected by Owners)
- Cannot change team settings or manage members
- View all templates in the workspace
Commenter
Commenters have view-only access with the ability to provide feedback through comments.
Permissions:
- View all templates in the workspace
- Leave comments on templates
- Cannot edit templates or modify any settings
- Ideal for stakeholders and approvers who need visibility without editing access
Inviting Team Members
Getting new members into your workspace is straightforward.
To invite a team member:
- Click Settings in the left navigation menu
- Select the Team tab
- Click the Invite Member button
- Enter the team member's email address
- Select their role from the dropdown (Account Owner, Owner, Editor, or Commenter)
- Click Send Invitation
The team member will receive an invitation link via email. They can click it to join your workspace with the assigned role.
Managing Team Members
After members join your workspace, you can update their roles or remove them as needed.
To change a member's role:
- Go to Settings > Team
- Find the member in the list
- Click the role dropdown next to their name
- Select the new role
- Changes take effect immediately
To remove a member:
- Go to Settings > Team
- Find the member you want to remove
- Click the Remove button next to their name
- Confirm the removal
Once removed, the member will no longer have access to your workspace or its templates.
Section Locking
Owners can protect specific sections of a template to prevent editors from making accidental or unwanted changes. This is useful for maintaining consistency across templates.
Protected Sections
Section locking is commonly used to protect:
- Email headers and branded logos
- Footers with legal information or compliance text
- Navigation sections
- Pre-approved design elements
How Section Locking Works
When an Owner locks a section in a template, Editors can still view it but cannot modify the content, styling, or structure within that section. The locked section remains visible but is not editable.
To lock a section:
- Open the template in the editor
- Select the section you want to lock
- Click the Lock option in the section menu
- Only Owners and the Account Owner can unlock the section later
To unlock a section:
- Select the locked section
- Click Unlock (only visible to Owners and Account Owners)
- Editors can now modify the section again
Best Practices
- Use appropriate roles: Assign the minimum required permissions to each team member
- Leverage section locking: Protect critical elements like legal disclaimers and brand headers
- Regular reviews: Periodically review your team membership and update roles as needed
- Communicate changes: Let your team know about new members and permission updates
